Box Office Assistant COMPANY DESCRIPTION For 29 years, the International Festival of Arts & Ideas (“Arts & Ideas”) has inspired and delighted audiences with an annual program of over 200 performing arts and humanities events year-round, at least 85% of which are free. Focused events in June range from world and nationally-renowned speakers sharing the stage with critical local voices for discussions on democracy, to jazz concerts, theatrical performances, dance; takeout mixology classes; bike and walking tours; and live, individual performances by local on-call artists on front lawns and sidewalks throughout the area. Year-round programs include special town-hall events, a fellowship program for youth, planning and implementing mini-festivals in New Haven’s culturally-rich neighborhoods, participation in the NEA Big Read, and our annual Visionary Leadership Event. JOB DESCRIPTION Working under the supervision of the Audience Services Manager and the Box Office Lead, the Box Office Assistant will support over-the-phone and -person ticket sales. RESPONSIBILITIES Audience Experience Execute touch points with audiences (including pre-show and post-show emails, text alerts, etc.). Provide quality customer service. Audience Research Collect audience feedback in Salesforce (our cloud-based constituency platform). Assist volunteers with collecting survey responses on the Green Collect data on past sales to facilitate outbound calls to former Festival buyers Interdepartmental Collaboration House Management Ensure effective info-flow both internally and with audiences. Hold Info Booth hours on the New Haven Green. Development Ensure Festival Insider complimentary products are delivered and tracked. Manage concierge and member ticket orders, as well as donor complimentary tickets. Box Office Ticketing / Reservations Maintain events, packages, discounts, and other box office functionality. Prepare an end- of- season report including an analysis of box office operations, forms and seating charts, per-show personnel expense report, recommendations for future. Organize and route will-call orders. Maintain a system for tracking complimentary ticket allotments and seat blocks used by various Festival departments, and a method for holding and releasing seats in a time-appropriate manner. Manage the execution of plans for staff, equipment, and technology to accomplish the following: Phone sale, internet purchasing, and customer inquiries. The establishment of walk-up sales location(s) outside the Festival’s offices. On-site, pre-show ticket sales at all Festival venues and events. Print-at-home and e-tickets, and their on-site use. Online reservation systems. DESIRED QUALIFICATIONS Must have 2-3 years of customer service experience Must be highly organized and detail-oriented Familiarity with box office software is required, knowledge of Eventbrite a plus Proficiency with Microsoft Suite Ability to handle multiple tasks and priorities with efficiency and poise Excellent written, verbal, and interpersonal communication skills Interest in the arts & performing arts a plus Spanish a plus Familiarity with the neighborhoods and communities in and around New Haven a plus Ability to work in person in New Haven April – June 2024 required.
